WORCESTERSHIRE HUNT BRANCH PONY CLUB CANCELLATION POLICY

This cancellation policy is applicable to all Worcestershire Hunt Branch Pony Club training events/activities.

In the policy below, the term “Worcestershire Hunt Branch Pony Club” refers to the Worcestershire Hunt Branch Pony Club committee with the District Commissioner having the final decision.

In the policy below, the term “organiser” refers to the committee member who has scheduled the activity.

In the policy below, the term “activity” refers to all Worcestershire Hunt Branch Pony Club events – rallies, discipline specific rallies and training sessions, games practices, badge days, unmounted activities, fun rides, trips, and competitions.

Please note: - Camps have a separate cancellation Policy.

  •  All requests for cancellations and/or transfers must be received by email to the relevant organiser and treasurer treasurer.worcestershure@pcuk.org who will confirm with the organiser and issue a refund if applicable.

  • Changes will become effective on the date of written confirmation being received.

  • If a doctor’s note or vet’s certificate is provided, the cancellation charge may be waivered at The Worcestershire Hunt Branch Pony Club’s discretion.

  • The administration fee is £5.

  • The appropriate cancellation charge, for any reason, will apply based on the cost of your booking, as shown below.

-Notice seven calendar days or more before the activity, full refund minus administration fee.

-Notice less than seven calendar days before the activity or after the times have been published (whichever is earlier) no refund will be given.

-Failure to attend - no refund given.

  • Refunds, if applicable, will be issued upon receipt of bank details, if the original payment cannot be refunded via PayPal.

  • In the event of an individual named on the booking form being unable to attend, a substitution of another member will only be accepted, if the activity is full and at the discretion of the organiser based on groups and abilities. If the activity is not full, the cancellation charges as above will apply, and the substituted member will have to pay the normal entry fee. If a substitution is to take place, an administration fee will be charged.

  •  In the event of a member wishing to transfer from one event to another event (i.e. with the same price), this will be treated as a cancellation, and the same refund policy as above will apply.

  •  In the event of there being insufficient numbers booked onto an activity, the Worcestershire Hunt Pony Club reserves the right to cancel or postpone the activity.

  • In the event of cancellation by the Worcestershire Hunt Pony Club, we will endeavour to inform all participants one week before the activity is due to take place, although please be aware that this is not always possible. Entry fees paid will be transferred to another activity unless a refund is requested by the member. The Pony Club will have no liability to reimburse any other costs that may have been incurred, including transport costs, etc. If a rally is cancelled by the organisers a proportion of the entry fee may be withheld for administration purposes.
